Privacy Policy

Last updated October 1, 2026

This policy covers CloudHound in ChatGPT: the free RVTools estimate and connecting your CloudHound account. It is provided by CloudHound Limited. Your use of the CloudHound platform itself is covered by your agreement with CloudHound. Questions go to support@cloudhound.io.

1. What we collect

  • Free RVTools estimate: the RVTools export you attach, including the VM and host names, configurations and disk sizes in it, the file name and the pricing options you choose. The request reaches us from ChatGPT, so we do not receive your IP address or your ChatGPT account details.
  • Workbook by email: your company email address, if you ask for the estimate workbook to be emailed.
  • Connecting your CloudHound account: you sign in with CloudHound and choose a portfolio and an access level. ChatGPT then reads that portfolio's data, which CloudHound already holds for you, to answer your questions. We record the connection (which assistant, when and by whom) and issue it a one-hour access token with a 30-day refresh token.

We only receive the requests ChatGPT sends to CloudHound to answer you, not the rest of your conversation.

2. How we use it

  • To produce the estimate, and to email the workbook, build an AWS Pricing Calculator estimate or delete the estimate when you ask.
  • To answer questions about the portfolio you connected.
  • To let our team know about each free estimate. The notice carries the file name, the number of VMs, the target AWS region, the domain name most common in the file and the estimated annual AWS cost. When you ask for the workbook by email, the notice carries your email address and we may contact you about CloudHound.

We do not sell data and do not use it for advertising.

3. Service providers

  • Amazon Web Services: hosting and storage, and email delivery through Amazon SES.
  • Slack: the notices to our team described in section 2.
  • OpenAI: hosts your ChatGPT conversation under OpenAI's own privacy policy.

If you ask for an AWS Pricing Calculator link, each VM's name, size and recommended instance are placed in an estimate on calculator.aws, which anyone with the link can view.

We may disclose information when the law requires it.

4. How long we keep it

  • Estimates: the estimate and the VM rows stored from your file are deleted automatically within two days. You can ask ChatGPT to delete an estimate at any time. The file itself is read while the estimate is built and is not stored.
  • Workbooks: the download links expire after three days and the workbook files are deleted after seven.
  • Records: a record of each estimate (the file name, options and time) and the email addresses that asked for a workbook are kept as a record of use. We delete them on request.
  • Connections: access tokens expire after an hour and refresh tokens after 30 days. You can disconnect ChatGPT at any time under Settings, MCP Server API Keys in CloudHound. Your portfolio data is kept under your agreement with CloudHound.

5. Your choices

You can delete an estimate from ChatGPT, disconnect ChatGPT from your CloudHound account, and ask us for a copy of, or the deletion of, any record described here by contacting support@cloudhound.io.

6. Security

Data is encrypted with TLS 1.3 in transit and AES-256 at rest. Access to stored data is restricted to authorized personnel and protected by multi-factor authentication.

7. Business use

CloudHound is a business-to-business service. We do not target individual consumers and do not knowingly collect information about children under 13.

8. Changes

We may revise this policy. Changes are posted on this page with a new date.
